The letter and the envelope should agree
Letterhead and envelopes are a pair even when you order only one of them. The person who opens the envelope sees the sheet next, and a mismatch in color, logo placement, or paper feel reads as two brands. Firms, nonprofits, schools, and anyone who still sends a signed letter use this set when the note has to exist on paper.
Order the pieces you actually need. Letterhead alone, envelopes alone, or a matched set are all legitimate quotes. If the set should also agree with a card people hand out, spec the business cards in the same breath so the ink and the logo are planned once, not reconciled later.
Size, window, and ink
Name the envelope size. A #10 is the usual letter envelope, and it is the right call only if that is the letter you send. Any other size should be written out. Say whether the face is closed or has a window. A window is only useful if the letterhead puts the right block behind it. If you are unsure, ask before the proof rather than discovering the misalignment in a carton.
Letterhead size is its own line. Most of it is the sheet people put in that #10, but a half-sheet note or a second size for invoices is a choice you can add. Tell us how the ink should work: full color, or a simpler one- or two-color mark. If a color has to match a card or an older letterhead, describe it and share whatever specs you have. We will say on the quote whether we can confirm a match. We will not promise one from a verbal “it’s blue.”
Stock is a feel decision. Say whether the sheet and the envelope should match, and whether people need an uncoated surface they can sign.
A short run of full-color stationery fits digital printing. A long run of a consistent mark is a classic offset printing job. Quantity and color plan are enough for us to choose. You do not need to.
Ordering the set from another state
Request a quote with each piece, its size, window or not, ink plan, quantity, and the state or ZIP for the cartons. We price the set, send a proof of each piece, and print after you approve. Approve the letterhead and the envelope together when a window has to reveal a specific block. The finished stationery ships anywhere in the United States. If cartons should split across offices, include that split in the request.
Two files, not one stretched to fit
Envelope art is not letterhead art scaled down. The flap, the seam, and any window eat space a letter never has to worry about. Keep type off the flap edge and out of the glue. On the letterhead, decide where the logo, the contact line, and the start of the letter sit, and keep them consistent with the envelope’s face. If there is a window, the block it reveals has to be placed on purpose.
Send a PDF for each piece. Graphic design and prepress can build both from a logo and a contact line, set them so they agree, and flag a window that does not line up. Include a sample of the card or the old letterhead if a match matters. The proof should show each piece at its own size, with the window called out, before anything is printed.

- Any of the three. A matched set means the letterhead and the envelope are planned together. Tell us which pieces are in this order.
- Should the envelope have a window?
- Say whether you want a window or a closed face. If there is a window, the letterhead art has to sit where that window will show it, so call that out before the proof.
- What envelope size should I specify?
- Name the size on the quote. A #10 is what people usually mean for a standard letter. Invitation and larger envelopes are different sizes, so do not assume #10 unless that is what you want.
- Can the ink match our business cards?
- Describe the color you need to hit, and send any specs you already have. We will say on the quote whether a match is something we can confirm. We do not promise a match sight unseen.
